Welcome to Caring Mind Conversations (“Caring Mind,” “we,” “us,” or “our”). We are committed to providing you with professional mental health counselling and related services subject to the following Terms and Conditions (“T&C”). This document contains important information about our services, policies, and your rights and responsibilities as a client. By accessing or using our services, you agree to be legally bound by these T&C.
Please read these carefully. If you have any questions, you may discuss them with us before commencing services or at any point during your engagement.
1. SERVICES
Caring Mind Conversations provides mental health counselling and psychotherapy services through qualified mental health professionals. Counselling is a collaborative process designed to help clients address emotional, psychological, or behavioral challenges.
Counselling/Therapy involves a professional relationship with clearly defined rights and responsibilities for both client and therapist.
The initial sessions (usually the first four) focus on a comprehensive evaluation to understand your needs and create a tailored treatment plan.
You are encouraged to actively participate both during and outside sessions to achieve the best outcomes.
Counselling can be emotionally challenging as it may involve discussing difficult aspects of your life, but it also offers the possibility of significant benefits such as improved mental well-being, relationships, and coping skills.
There are no guaranteed outcomes, and therapy effectiveness depends on many factors including your commitment.
2. RISKS AND BENEFITS
While counselling has proven benefits, including relief from emotional distress and development of coping strategies, it also involves some risks:
You may experience uncomfortable feelings such as sadness, anger, guilt, anxiety, or frustration during therapy.
These feelings are often a natural part of the healing process and are addressed sensitively by your therapist.
We encourage you to communicate openly about your concerns throughout the therapy process.
The benefits of counseling are often long-term and can significantly improve your quality of life.
3. CLIENT-THERAPIST RELATIONSHIP
Your relationship with your therapist is strictly professional and centered on your therapeutic goals.
Social, business, or personal relationships outside therapy are avoided to maintain professional boundaries.
Gifts or exchanges of services outside of the counselling relationship are not appropriate.
Confidentiality and respect form the foundation of this relationship.
4. YOUR RIGHTS AS A CLIENT
As a client receiving services from Caring Mind Conversations, you have the following rights:
To be treated with dignity, respect, and without discrimination on any basis (including but not limited to age, gender, caste, religion, sexual orientation, disability, ethnicity, or nationality).
To receive services in a safe, supportive, and confidential environment.
To be fully informed about your treatment, including methods, risks, benefits, and alternatives.
To participate actively in treatment planning and to provide feedback.
To refuse or withdraw from treatment at any time without penalty.
To expect continuity of care and to receive referrals or support for other services as needed.
To have access to information about your therapist’s qualifications and experience.
To have your personal information and therapy records kept confidential except as required by law.
5. PAYMENT POLICY
Fees for counselling and other services will be communicated to you prior to beginning treatment.
Payment is expected before or at the time services are provided unless other arrangements have been made.
Fees are subject to change with notice.
We currently do not accept insurance payments directly; however, invoices can be provided for you to submit to your insurance provider.
Refund policies related to cancellations or no-shows are described below.
6. APPOINTMENTS, CANCELLATIONS, AND REFUNDS
If you cancel your appointment more than 24 hours in advance, you will receive a full refund or rescheduling option.
Cancellations made between 3 to 24 hours prior to the appointment will be eligible for a partial refund or rescheduling.
No refunds will be provided for cancellations within 3 hours of the appointment or for missed sessions.
Packages or prepaid session plans may have different cancellation and refund policies, which will be clearly explained at the time of purchase.
In the rare event Caring Mind Conversations cancels an appointment, a full refund or rescheduling will be offered without penalty.
Requests for rescheduling must be made at least 3 hours before the scheduled appointment; otherwise, the session will be treated as a no-show.
7. COMMUNICATION AND PRIVACY
We may contact you by phone, email, SMS, WhatsApp, or other channels for appointment reminders, session follow-ups, or service-related communication.
By using our services, you consent to receiving such communications.
Your personal and sensitive information (including health details, financial data, and other confidential information) is collected and stored securely in accordance with applicable laws and ethical standards.
We do not knowingly collect personal information from minors under 18 years. If you are a minor, your parent or legal guardian has to consent to use of our services, unless contingency otherwise require.
Your information will not be shared with third parties without your explicit consent unless required by law.
8. CONFIDENTIALITY
Confidentiality is a cornerstone of therapy. Information shared during counselling sessions is private and confidential between the therapist and the client, with the following exceptions in law or ethical obligations:
If there is a risk of harm to yourself or others.
If there is suspected abuse or neglect of a child or vulnerable adult.
If a court orders the release of records.
If you file a complaint or lawsuit against your therapist.
In such cases, only necessary information will be disclosed to appropriate authorities.
9. PROFESSIONAL RECORDS
Your therapist maintains confidential records related to your counselling, including assessments, treatment plans, progress notes, and billing information.
These records are stored securely and are your property.
You may request copies of your records or have them sent to another health professional with a written authorization.
If you do not engage in therapy for 3 months or more, your file may be closed, and if you resume after this period, it will be treated as a new case with new records.
10. INTELLECTUAL PROPERTY
All content on the Caring Mind Conversations website, including text, images, logos, and other materials, are protected by applicable copyright laws.
Unauthorized reproduction, distribution, or modification of materials is prohibited.
11. ACCURACY OF INFORMATION
We strive to ensure that all information on our website and provided during services is accurate and current.
However, we do not guarantee completeness or timeliness and are not liable for any errors or omissions.
You are responsible for verifying any information before making decisions based on it.
. CONSENT TO MENTAL HEALTH SERVICES
By agreeing to these Terms and Conditions, you acknowledge that:
You have read, understood, and had the opportunity to ask questions about these terms.
You voluntarily consent to receive mental health assessment, counselling, or other therapeutic services.
You understand you may discontinue services at any time.
13. EMERGENCY CONTACTS
Caring Mind Conversations does not provide emergency or crisis services. In case of a mental health emergency, please contact:

Nearest hospital emergency room or emergency services (Police, Ambulance)
IHBAS - These Terms remain in effect until terminated by either party.
You may stop services at any time by notifying us.
We reserve the right to terminate services if Terms are violated or if continuation of therapy is deemed inappropriate, with prior notice wherever possible.
Obligations incurred before termination will survive.
16. GOVERNING LAW AND JURISDICTION
These Terms and your use of Caring Mind Conversations services are governed by the laws of India. Any disputes shall be subject to the jurisdiction of courts in Delhi.
17. CHANGES TO TERMS
We reserve the right to update or modify these Terms at any time. Changes will be posted on our website. Continued use of our services after such changes constitutes acceptance of the new Terms.
